We are looking for passionate and dedicated individuals to join our volunteer team for 2nd Surabaya World Choral Festival 2025. This is a great opportunity to be part of an international-scale event, contribute to the success of the festival, and gain valuable experience in event management.

📍 Venue: Balai Pemuda Surabaya, Jl. Gubernur Suryo No.15, Embong Kaliasin, Kec. Genteng, Surabaya, Jawa Timur 60271

📅 Date: 12 - 15 November 2025

⏳ Availability: Full-day commitment during the festival
👥 Skills Required: Ability to work in a team

1. ADMINISTRATION & INFORMATION

  • Ensure participant data matches the Master Database (MDB).
  • Act as the main information center for participants.
  • Ensure participants arrive at the venue on time.
  • Manage ticket sales and distribution.
  • Ensure smooth check-in and entry processes.
  • Provide ticket-related information to attendees.

Memastikan data peserta sesuai dengan MDB.
Menjadi pusat informasi bagi peserta.
Menjamin peserta tiba di venue sesuai jadwal.
Mengelola penjualan dan distribusi tiket.
Memastikan proses check-in dan masuk berjalan lancar.
Memberikan informasi terkait tiket kepada peserta dan penonton.

Roles: Registration, Choir Care, Ticketing


2. HOSPITALITY

  • Coordinate catering, accommodation, and transportation for committee, judges, and international participants.
  • Ensure all logistics run smoothly.

Mengkoordinasi konsumsi, akomodasi, dan transportasi panitia, juri, serta peserta internasional.
Memastikan kelancaran logistik selama acara.

Roles: Meals, Liaison Officer, Transportation


3. SHOW

  • Execute event tasks according to plan.
  • Maintain high artistic quality throughout the event.
  • Ensure the comfort of participants and audience members.
  • Operate and manage sound system, LED, and lighting to enhance event atmosphere.

Mengeksekusi tugas acara sesuai rencana.
Menjaga kualitas artistik acara.
Menjamin kenyamanan peserta dan penonton.
Mengoperasikan dan mengelola sound system, LED, serta pencahayaan untuk meningkatkan suasana acara.

Roles: Doorman, Usher, Stage Crew, Backstage Crew, Concert Crew, Sound System Operator, LED Operator, Lighting Operator


4. ARTISTIC

  • Manage judging documents and ensure judges' comfort.
  • Oversee the announcement of competition results.
  • Responsible for all educational activities such as workshops, meet-the-jury sessions, and related programs.

Mengatur dokumen penjurian dan memastikan kenyamanan juri.
Mengawasi pengumuman hasil kompetisi.
Bertanggung jawab atas seluruh kegiatan edukasi seperti workshop, meet the jury, dan program terkait lainnya.

Roles: Jury Secretary, Education Coordinator


5. MULTIMEDIA

  • Create an engaging atmosphere using available equipment.
  • Ensure all technical equipment functions properly.
  • Optimize visual and audio presentations.

Membangun suasana acara dengan peralatan yang tersedia.
Memastikan semua peralatan teknis berfungsi dengan baik.
Mengoptimalkan presentasi visual dan audio.

Roles: Camera Person, Documentation, Multimedia, Social Media


6. GENERAL

  • Manage all event equipment and logistics.
  • Ensure facilities are set up and distributed properly.
  • Oversee the distribution and management of event merchandise.

Mengelola perlengkapan dan logistik acara.
Memastikan fasilitas terpasang dan tersalurkan dengan baik.
Mengawasi distribusi dan pengelolaan merchandise acara.
